This circular seeks to explain, thoroughly, the concept and procedures for the IVAO Connect Events Series, as well as to provide a clear definition of meaning and requirements for this Event Type. Rather than a proper procedure to be followed, this circular is an internal documentation to clarify this brand-new concept that we are introducing to replace the IVAO Relay Events Award.
Since December 2020, the IVAO Events Department launched a project to analyse the use of the IVAO Relay Award in our network and community: how it started, how it was being used, and prospects for its future. Our findings revealed that:
After evaluating the performance of our IVAO Relay Events, the unclear background, requirements, and regulations of an IVAO Relay Event, we do think the best option is to bring up a new and fresh proposal that is well defined from the very beginning and counts with a bright and long-term future ahead: the IVAO Connect Events Series.
The IVAO Connect Events Series seeks to increase network activity by promoting special events through neighbouring divisions to celebrate their proximity and friendship, whereas the Spirit of IVAO is shared across borders and nationalities – ultimately, the purpose of these special events is to create a shared sense of global community.
Only one IVAO Connect Events would take place per month (12 events per year) – our idea is to create an event that feels unique to our community and our network, rather than a regular event. The responsibility of organising such events is solely at senior level, and the IVAO Events Department will contact participating divisions to start the required coordination. Likewise, requesting or organising IVAO Connect Events is not a possibility for Divisional Events Departments to do on their own, although they will be offered a partnership for this event series. This way we can assure the IVAO Events Department will be able to have full control over the situation, organisation, and preparation of these events. There is a precedent for this: the Continental Online Day series.
– Three divisions (neighbours or close divisions); two airports per division (agreed between the Divisional Events Department and the IVAO Events Department);
– At least four hours of duration;
– If a division is an MCD (Multi-country Division), the IVAO Events Department may choose to consider involving only two divisions. In such cases, the MCD may choose four airports.
– A pilot must perform two flights between three of the involved airports;
– A pilot is required to choose different routes for the involved airports, that is: flying one leg between two airports in the same division will not be allowed.
Example:
ES selected airports: LEPA and LEBL;
FR selected airports: LFBO and LFML;
CH selected airports: LSGG and LSZB.
Valid routes would be LEPA -> LFBO -> LSZB, or vice-versa;
LSGG -> LEBL -> LFML, or vice-versa.
– Be online, for at least two cumulative hours, during the timeframe of the event and in one of the selected ATC positions for the event.
Example: A member can provide 45min of ATC services and then provide another
1h15min of ATC services as well, as long as the total amount of connection time as ATC is equal to two hours.
– Be online at one of the selected airports for at least two cumulative hours.
– Comply with the event’s requirements announced in the IVAO Events forum board and any other requirement defined by the IVAO Events Department for the IVAO ConnectEvents Series – such as booking a slot to participate as FMC.
Rather than being organisers in these events, the Divisional Events Departments will assume the role of partners, whilst the IVAO Events Department will assume the role of organisers. This means that:
Divisional Events Departments are not allowed to request, plan, and/or organise IVAO Connect Events.
Once the IVAO Events Department invites Divisional Events Departments to participate in the organisation of these events, then they will become part of the organisation of these events as consultants.
The Divisional Events Departments will suggest two airports inside their airspace for the event to take place. The IVAO Events Department will evaluate the two suggestions and decide whether to accept them or propose a new suggestion. Likewise, the Divisional Events Department will suggest the best timeframe for the event to take place in their division.
The Divisional Events Departments will arrange for Air Traffic Controller services throughout the entirety of the event, as well as advertising the event at divisional level.
The IVAO Events Department will coordinate for the creation of the event banner, event announcement (BBcode), and possibly the event briefing (if necessary).
Each division will only participate in an IVAO Connect Event once per year. The IVAO Events Department will hold twelve (12) IVAO Connect Events per year, one per month.
With this new concept, the IVAO Relay Event Award will no longer exist. Past participations in an IVAO Relay Event will be equal to one point for the IVAO Connect Events Award (so that members who already have received the IVAO Relay Event Award will receive the first level of the IVAO Connect Events Award). Therefore, we will also change members’ profiles to remove the IVAO Relay Event Award and apply the new award.
The IVAO Events Department has suspended any new requests for the integration of the IVAO Relay Event Award and will start to halt planned Relay Events once the time has come. Affected divisions that have not yet used their token will be given priority in our planning for upcoming IVAO Connect Events.
