The Executive Director for Central Services is responsible for the daily management of the Membership and Training Departments. The Executive Assistant for Central Services is responsible for assisting the Executive Director in the daily management of the Central Services and the execution of the below responsibilities:
- Drive change within the Central Services and ensure that they are kept running efficiently and that policy and projects set by the Board of Governors are completed on time and to the expected IVAO standard.
- Line manages the DIRs/ADIRs of the Central Services and carries out performance reviews at least once every 12 months.
- Oversee staff changes within Central Service Departments and ensure that Central Services staff members feel supported.
- Ensure that Central Service Departments are coordinating with other HQ departments, and providing adequate levels of support for divisions and users.
- Foster a spirit of inclusiveness and open communication which results in constructive feedback being provided and then acted upon.
- Maintain an open line of communication with relevant stakeholders related to the Central Services.
- Assist other areas of the organisation in matters relating to the Central Services.
- Be a final point of contact for all users relating to the Central Services.
- Ensure that departments are adequately resourced and that any staffing issues are addressed.
- Liaise with the other Executive Directors to ensure that divisional departments, specifically Membership and Training, are running in accordance with the IVAO Rules, Regulations and Policies and HQ departmental policies.
- Resolving departmental disputes in a controlled, objective and fair manner.
- Receiving, analysing and providing feedback on adjustments for proposed changes to the IVAO Regulations for Central Services.
- In conjunction with the Executive Director for Operational Services, ensure that controlling, flying and special operations standards are set for the network “as real as it gets” with maintenance of those standards through adequate, clear, concise and transparent training and documentation.
- Promote IVAO, in conjunction with the Executive Director for Infrastructure Services, to increase the level of users joining the network and ensure that IVAO provides a simple and streamlined method for users across the network.
- Be responsible for the whole on-boarding and education process within IVAO, establishing meaningful cooperation with other Executive Directors to ensure users remain at the heart of everything we do at IVAO.
- Participate in wider discussion with the Executive Council to ensure that projects are coordinated and any overlaps managed to ensure maximum efficiency across the organisation.
- Actively seek the collaboration and approval of other Executive Directors where overlaps occur within other areas of the network.
- Actively participate within Executive Council meetings and discussion regarding the wider day-to-day operations of the network.
- Provide a liaison between the Executive Council and the Central Services where required.
- Implement policy and R&R within the Central Services as set by the Board of Governors.
- Provide a monthly update to the BoG on the Central Services, focusing (though not exclusively) on decisions, project updates and timelines.
- Attend a Central Services review with the President/Vice President at least once every 3 months to discuss (though not exclusively) the vision, future policy and R&R updates for the Central Services.
- Provide a liaison between the Board of Governors and the Central Services where required.
- Perform any other reasonable responsibilities as required by the Board of Governors.
