The Executive Director for Local Services is responsible for the daily management of the Divisions and Supervisors. The Executive Assistant for Local Services is responsible for assisting the Executive Director in the daily management of the Local Services and the execution of the below responsibilities:
- Drive change within the Local Services and ensure that they are kept running efficiently and that policy and projects set by the Board of Governors are completed on time and to the expected IVAO standard.
- Line manages the DIRs/ADIRs of the Local Services (including all supervisors) and carries out performance reviews at least once every 12 months.
- Oversee staff changes within Local Service Departments and ensure that Local Services staff members feel supported.
- Ensure that Local Service Departments are coordinating with other HQ departments, and providing adequate levels of support for divisions and users.
- Foster a spirit of inclusiveness and open communication which results in constructive feedback being provided and then acted upon.
- Maintain an open line of communication with relevant stakeholders related to the Local Services.
- Assist other areas of the organisation in matters relating to the Local Services.
- Be a final point of contact for all users relating to the Local Services.
- Ensure that divisions are adequately resourced and that any staffing issues are addressed.
- Liaise with the other Executive Directors to ensure that divisional departments are running in accordance with the IVAO Rules, Regulations and Policies and HQ departmental policies.
- Resolving divisional and supervisorial disputes in a controlled, objective and fair manner.
- Receiving, analysing and providing feedback on adjustments for proposed changes to the IVAO Regulations for Local Services.
- Liaise with the other Executive Directors to ensure that divisional departments are running in accordance with the IVAO Rules, Regulations and Policies and HQ departmental policies.
- Conduct a proper selection process, including interviews, for prospective DIRs/ADIRs and supervisors, ensuring a high level of personal availability exists.
- Ensure that the network has a stable supply and demand structure for supervisors, ensuring that busy periods and busy events have support from the supervisor team.
- Manage suspension appeals from users following supervisor action.
- Provide adequate training and standards upkeep to new supervisors.
- Ensure that divisions have achievable objectives that follow the Board of Governor’s strategy for the network.
- Manage the creation and closure of Divisions and Multi Country Divisions.
- Participate in wider discussion with the Executive Council to ensure that projects are coordinated and any overlaps managed to ensure maximum efficiency across the organisation.
- Actively seek the collaboration and approval of other Executive Directors where overlaps occur within other areas of the network.
- Actively participate within Executive Council meetings and discussion regarding the wider day-to-day operations of the network.
- Provide a liaison between the Executive Council and the Local Services where required.
- Implement policy and R&R within the Local Services as set by the Board of Governors.
- Provide a monthly update to the BoG on the Local Services, focusing (though not exclusively) on decisions, project updates and timelines.
- Attend a Local Services review with the President/Vice President at least once every 3 months to discuss (though not exclusively) the vision, future policy and R&R updates for the Local Services.
- Provide a liaison between the Board of Governors and the Local Services where required.
- Perform any other reasonable responsibilities as required by the Board of Governors.
