- TU.1.1 →The IVAO network is offered to you free of charge conditioned on your acceptance of the IVAO rules and regulations, terms of use and privacy policy published on our website. Your use of the network constitutes your agreement to these documents. IVAO reserves the right to change or update these documents and will notify users if it does.
- TU.1.2 → Users not meeting user requirements, abuse or violating the rules and regulations, unauthorized accessing, tampering, altering, disseminating or jeopardizing the network environment or disclose user information to third parties may face sanction up to and including referral for criminal prosecution to be the sole determination of the IVAO Executive Council.
One-time registration with IVAO, with the full and real name at www.ivao.aero, grants usage of IVAO services provided the user has attained 16 years of age at the time of registration, registers a continuously valid working e-mail address and chooses an IVAO division. Accounts may be subject to approval by the IVAO membership department, should doubts about the identity of the user rise. Users shall not create multiple accounts and are responsible to keep their accounts up to date. Users shall never share account passwords with other persons nor allow others to use their account and shall only use their own account.
A user shall not register again with IVAO, when they have previously registered and have had their account deleted as a result of a completed GDPR request. IVAO reserves the right to apply a permanent suspension on the newly created account if this is detected.
Users can register an account if they are between 13 and 16 years old provided their legal guardians have given consent for this registration. Upon registration, the user is asked to confirm this consent.
- TU.2.2.1 → Application for an Organizational Account shall be done via e-mail to the Membership Department. The application shall contain, at minimum, the legal and trade name of the organization, physical location that means the ordinary place of business, the nature of the organization including services provided, legal/taxation status as an example non-profit, corporation, etc. and how they wish to utilize IVAO services. Organizations shall provide contact information for at least two individuals considered to be managers. This information shall be made available to supervisory staff. The managers are at all times responsible for the account. The name listed on the account shall be the registered name of the company or organization. Organizational Accounts shall be listed as members of the division in which their primary place of business is located.
- TU.2.2.1 → Organizations agree that they shall not profit from the use of IVAO services as an example: An organization which charges a fee to its clients for instruction time or use of equipment may do so, however, is prohibited from charging an additional fee for the use of any IVAO service. Organizations agree to promote IVAO through the use of a visible IVAO logo and URL on their website. IVAO agrees to promote the organization through the affiliate program.
- TU.2.3.1 → Users with at least the Gold Content Creator status can apply for an Organisational Account for Content Creators. Application shall be submitted via e-mail to the Membership Department. Requests must be sent from the e-mail address associated with the user’s main account. The application must include at least the channel name, link to channel and VID of current account. The name listed on the Content Creator account shall be set to the channel name and listed as a member of the user's division. Information about the owner of the account will be visible to certain staff members.
- TU.2.3.2 → Content creators agree to promote IVAO through the use of a visible IVAO logo and URL on their website and streams. IVAO agrees to promote the creator through the affiliate program.
- TU.2.3.3 → Users will be offered the option to transfer current and future ratings from their main account. Content Creators benefits (e.g. status on profile/webeye) will be transferred to the new organisational account.
- TU.2.3.4 → Users must take exams and training on their main accounts. Any suspension issued on the creator's account will be adjusted also on the main account and vice versa.
- TU.2.3.5 → When a user leaves the Verified Content Creators program, fails to meet the requirements or abuses the terms of use, the account will be closed by the Membership Department. If the account was used according to rules, the Membership Department can approve the merging of hours gained on the Content Creator account.
Active accounts require network activity minimal once every 3 months. Inactive accounts after initial registration will be removed after nine months. Active accounts becoming inactive remain inactive or can be removed. Inactive accounts as described in the membership department procedures.
¶ TU.1 - Purpose and Scope
- TU.1.1 These Terms of Use govern all interactions between users and the International Virtual Aviation Organisation (hereinafter, "IVAO"), including access to and utilisation of its network, services, platforms, and associated tools. IVAO services are offered free of charge, in accordance with its non-profit nature.
- TU.1.2 Acceptance of these Terms is mandatory for all users. Use of the IVAO network implies full and unconditional acceptance of these Terms and all other official policies, including but not limited to the Privacy Policy, Rules and Regulations, and the Safeguarding Policy.
¶ TU.2 - Eligibility and Registration
- TU.2.1 A person is eligible to register with IVAO if they are at least sixteen (16) years of age at the time of registration.
- TU.2.2 Individuals aged thirteen (13) to fifteen (15) may register only with documented consent from a legal guardian, which must be confirmed at the time of registration.
- TU.2.3 Registration requires the provision of the user’s full legal name (as stated on a government-issued identity document), a personal and functional email address, and selection of a division.
- TU.2.4 The Membership Department may request verification of identity should doubts arise regarding the authenticity of the registration data.
- TU.2.5 All users are required to maintain accurate, current information within their account profile.
¶ TU.3 - Account Uniqueness and Integrity
- TU.3.1 Each user is entitled to a single, individual IVAO account. Creation of multiple accounts is prohibited, except where expressly authorised in writing by the Membership Department.
- TU.3.2 Accounts previously removed as a result of a GDPR erasure request may not be re-created. Re-registration under such circumstances may result in permanent suspension.
- TU.3.3 Users may not share their account credentials with third parties, nor authorise others to access the network using their account.
- TU.3.4 Users bear sole responsibility for all actions conducted through their account.
- TU.4.1 A user account is considered active when the user connects to the IVAO network for at least thirty (30) minutes within a rolling period of three (3) months.
- TU.4.2 Newly registered accounts that remain unused may be deleted automatically after nine (9) months.
- TU.4.3 Active accounts that subsequently become inactive may be subject to deactivation or deletion, in accordance with procedures defined by the Membership Department.
¶ TU.5 - Organisational and Special Accounts
TU.5.1 Organisational Accounts
- TU.5.1.1 Legal entities may request an organisational account by submitting a formal application to the Membership Department.
- TU.5.1.2 Applications must include legal and commercial identification, location, purpose of use, and contact details for at least two individuals responsible for managing the account.
- TU.5.1.3 Organisational accounts must not monetise access to IVAO services. However, organisations may charge clients for instruction time or use of their own equipment, provided that no part of such fees are linked to access or usage of IVAO services. Any revenue model directly involving IVAO’s infrastructure, access, or identity is strictly prohibited.
TU.5.2 Content Creator Accounts
- TU.5.2.1 Users with at least Gold Content Creator status may request a dedicated account for streaming and promotional purposes.
- TU.5.2.2 The application must be made via email using the same address as their primary account and include the relevant channel details.
- TU.5.2.3 Content Creator accounts are linked to the user's division and are publicly listed as such.
- TU.5.2.4 All training, examinations, and ratings must be conducted on the user's primary account. Suspensions affecting either account will be mirrored.
- TU.5.2.5 If a user is removed from the Content Creator programme, the account may be merged or closed, subject to compliance with all terms of use.
- TU.6.1 Users must comply with all IVAO rules, including those relating to ethical behaviour, privacy, safeguarding, and fair usage.
- TU.6.2 Breaches may result in temporary or permanent suspension, referral to legal authorities, and any other action deemed necessary to maintain the safety and integrity of the network.
- TU.6.3 Disciplinary measures may range from warnings to permanent suspension. Where appropriate, IVAO may apply partial restrictions on access or functions as a proportionate response. All procedures are governed by the Code of Conduct and Ethics.
¶ TU.7 - Admission Rights and Disciplinary Restrictions
- TU.7.1 IVAO reserves the right to deny access to its network, services, or membership at the sole discretion of the Board of Governors. This decision may be based on any factors the Board deems relevant to the integrity, safety, or reputation of the organization.
- TU.7.2 Disciplinary actions may include the restriction of access to specific roles or services, such as participation in events, training sessions, or public visibility features, without full suspension. These restrictions are to be proportionate, documented, and subject to oversight.
- TU.7.3 All admission denials and restrictions shall follow internal protocols, with an option for appeal. Measures must be justified, applied fairly, and documented for future reference.
- TU.7.4 Only persons formally authorised may publicly represent IVAO. False or unauthorised representation may result in restriction or removal from the network.
¶ TU.8 - Applicability and Modifications
- TU.8.1 These Terms of Use shall enter into force upon publication and remain binding until amended or revoked by the Board of Governors.
- TU.8.2 All amendments shall be published on the IVAO website and communicated to users. Continued use implies acceptance.
- TU.8.3 These Terms shall be interpreted under the laws of Belgium. The courts of Brussels shall have jurisdiction over any legal dispute.
