The social media guidelines set the standards of IVAO’s appearance on social media networks to create consistency and offer IVAO members the best social media experience.

These guidelines apply to all social media accounts officially endorsed by IVAO. Accounts endorsed by IVAO are any account managed by IVAO staff, including Divisions and Departments. Therefore, all staff with editorial access to IVAO Social Media ("IVAO PR Staff or Divisional Directors") must understand and follow these guidelines.
Every IVAO PR Staff Member must supervise and manage all social media activities conducted by IVAO.
SM.1.1. IVAO Divisions shall submit their official social media accounts to the Public Relations Department using the "Division Social Media" system available on the PR staff portal. The Division shall update the listing when necessary using the same method.
SM.1.2. The Public Relations Department will regularly review the social media accounts for compliance with IVAO Branding and Social Media Guidelines. The Public Relations Department will maintain a directory of the official social media accounts that will be published on the IVAO HQ website.
SM.2.1. Division Directors are responsible for the content published on their Division's social media accounts. Thus, it is required that Division Directors have administrator access to their division's social media accounts.
SM.2.2. The Divisional Headquarters must inform the Social Media Manager by email ("social@ivao.aero”) of any appointments and removals from the PR staff so that the corresponding rights can be assigned or removed. The DIV-HQ must state the VID, the staff position, and the requested access.
SM.2.3. Divisions must use corporate/business accounts on social media platforms that allow (e.g., Twitter and Instagram). PR-Staff must register accounts with an xx-social@ivao.aero email address where xx designates the IVAO designator of the division. Divisions must register their Facebook and Instagram accounts on IVAO Verified Business on Facebook.
SM.2.4.1. IVAO entrusts Divisional PR-Staff to manage their division's social media account. The divisional PR Staff must be aware that upon the termination of volunteering on IVAO, the Social Media Team will remove rights, and they will change any passwords immediately. Any actions on the social media account will be monitored by PR HQ.
SM.2.4.2. Should the divisional staff succeed in making the account inaccessible to IVAO, the Social Media Team will make every effort to regain access to the account or have the account closed. The Social Media Team will also report the matter as a case of "sabotaging IVAO systems" to the Executive Council and the Board of Governors for possible internal and/or legal prosecution.
SM.2.4.3. Each division must enable two-factor authentication (2FA) for all social media channels where this is possible (e.g., Instagram, Twitter). Activating the 2FA on the official IVAO mail of the XX-PRC is mandatory. The 2FA must be activated on the corresponding XX-HQ-email if there is no related divisional PR team. For access to any IVAO-endorsed Facebook pages. Users must enable 2FA on their own Facebook profiles to enable access to their respective divisional accounts. This is a requirement from Facebook themselves for business accounts.
The standardization of IVAO Social Media Accounts is crucial to maximize consistency in the brand experience and ensure that IVAO users can easily find and recognize official social media accounts. Therefore, all IVAO social media channels must be named as follows
SM.3.1.1. Account Name: IVAO
SM.3.1.2. Account Handle (Aka Username): @ivaoaero and /ivaoaero
SM.3.1.3. Account Logo: IVAO HQ Primary Logo
SM.3.2.1. Division social media handles should use the division's IVAO designator (similar to division website sub-domains i.e., xx.ivao.aero where xx refers to the division's ID)
SM.3.2.2. Account Name: IVAO Division name (The division name in full, e.g., IVAO Belgium or IVAO North America).
SM.3.2.3. Account Handle: @IVAOXX (The division ID without separator).

SM.3.2.5. Divisions must use their respective official logo, which can be found here. Divisions must be careful while resizing the logo and should follow https://brand.ivao.aero.
SM.3.2.6. Divisions can only make changes to logos once PR-HQ and EXEC have approved them.
SM.3.2.7. Divisions must not use obsolete, unofficial or fictional logos.
SM.3.2.8. Divisions must not use IVAO Headquarters logo.
SM.4.1. Divisions may post in English or any language they deem appropriate to their audiences. IVAO HQ accounts must only use the English language. Multi-country Divisions should mind any language differences in the countries they represent. All PR-Staff-Member should make necessary spelling revisions before posting.
SM.4.2. IVAO PR Staff should be as brief and concise as necessary. Long posts usually dilute the message and receive low engagement. Appreciate the difference between social media posts and NOTAMs or newsletters.
SM.4.3. IVAO PR Staff is advised to watch their insights and determine their posting timings accordingly, usually a couple of hours before the peak online time of the audience.
SM.4.4. IVAO PR Staff should use high-quality graphical material in their postings. All graphic content must adhere to IVAO's Brand (https://brand.ivao.aero) as well as the Rules, Regulations and Policies, particularly the Intellectual Property Policy (https://doc.ivao.aero/rules2:ipp) (e.g. to only post material that one has a license to use) and Privacy Policy (https://doc.ivao.aero/rules2:privacy) (e.g. do not post any user identifiable information without user's consent).
SM.5.1. IVAO allows the broadcast of any user-generated content (e.g. screens, voice, etc.). However, these broadcasts must not divulge user-identifiable data without the user's consent (e.g. full name, IP address, picture, email, etc.).
SM.5.2. IVAO PR Staff must ensure that their divisions and the respective content creators' streams comply with both the Rules & Regulations and the Policies.
